Privacy Policy

ViiCC ("we," "us," "our") operates a customer relationship management and AI-powered communication platform at app.viicc.com (the "Service"). This Privacy Policy describes what information we collect, how we use it, and your rights.

Information You Provide

When you sign up for ViiCC, we collect:

  • Name, email address, and phone number
  • Business information (company name, location, role, brand assets)
  • Payment information processed by our payment providers (we do not store full payment card details on our servers)
  • Content you upload (contacts, call notes, files, marketing materials)
  • AI assistant configuration (voice settings, scripts, knowledge base content)

Information We Collect Automatically

  • Call recordings, transcripts, and metadata from voice calls handled by your AI assistants
  • SMS messages sent and received through your ViiCC numbers
  • Usage data (features used, timestamps, IP address, browser/device info)
  • Cookies and similar technologies to keep you signed in and remember preferences

Google User Data

ViiCC offers optional Google Calendar integration to help your AI assistant check your availability and manage appointments. When you connect a Google account, you grant us read-only access to:

  • Your Google account email address (used to identify the connected account)
  • The list of calendars on your Google account
  • Free/busy time information for the calendars you select (start/end times only, no titles, descriptions, attendees, locations, or other event content)

We do not access email, contacts, files, photos, or any Google data outside of calendar free/busy information.

The free/busy information is stored as time ranges only and used exclusively to: answer availability questions you or your callers ask the AI assistant, find open appointment slots within your configured working hours, and prevent the AI from booking appointments at times you are already busy. Appointments booked through ViiCC are stored in our own database; we do not write to Google Calendar.

Google free/busy data is stored encrypted at rest on Cloudflare infrastructure and refreshed automatically during active use. We do not sell, transfer, or share Google user data with third parties. We do not use Google user data for advertising or AI model training.

You can disconnect Google Calendar at any time from your ViiCC Settings page or by removing ViiCC from https://myaccount.google.com/permissions. Either action immediately revokes our access tokens. Stored free/busy data is deleted from our database within 24 hours of disconnection.

ViiCC's use of information received from Google APIs adheres to the Google API Services User Data Policy , including the Limited Use requirements.

How We Use Your Information

We use the information we collect to:

  • Provide and operate the Service (including AI voice calls, SMS, CRM features, scheduling, and calendar integration)
  • Process payments and manage your account
  • Send service-related notifications and respond to support requests
  • Improve and develop new features
  • Comply with legal obligations and enforce our terms

We do not sell your personal information.

Service Providers

We share information with the following categories of service providers strictly to operate the Service:

  • Cloudflare (infrastructure hosting, data storage)
  • Twilio (telephony, SMS delivery)
  • VAPI, ElevenLabs, Cartesia, Deepgram (AI voice and speech processing)
  • Google (Gemini AI for natural language processing, Google Calendar integration when enabled)
  • Brevo (transactional email)
  • Stripe and Authorize.net (payment processing)
  • Apify (data enrichment when enabled)

These providers are contractually required to protect your information and use it only to provide their services to us.

Data Retention

We retain your data for as long as your account is active. When you delete your account, we delete or anonymize your personal information within 30 days, except where retention is required by law (e.g., financial records for tax purposes).

Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Export your data in a portable format
  • Opt out of certain processing activities

Security

We use industry-standard security measures including encryption in transit (HTTPS) and at rest, access controls, and regular security reviews. No system is perfectly secure, but we work continuously to protect your information.

Children

ViiCC is not directed to children under 13 (or 16 in the EU). We do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or via in-app notice.
